Privacy Policy

Elan International Pvt. Ltd. is dedicated to safeguarding the reasonable privacy expectations of personal information for all individuals it engages with, including suppliers, customers, consumers, and employees. The company is committed to compliance with applicable laws and regulations governing the collection, storage, processing, transmission, and sharing of personal information. Elan International ensures the implementation of its privacy policy by diligently safeguarding and preventing unauthorized disclosure of all information. A documented information management system, encompassing storage, preservation, retention, and disposal methods, is adhered to in order to protect records.

Procedure
  • Confidentiality: Employees are obligated to utilize company-confidential information solely for the pursuit of the company's business interests. Disclosure to any unauthorized parties, whether directly or indirectly, is strictly prohibited, even after termination of employment.
  • Authorized Personnel: Department heads are designated as the authorized individuals responsible for overseeing and safeguarding all information
Collection of Information:
  • Stakeholder Consent: Information of suppliers, customers, consumers, and employees is collected, including MoUs, agreement letters, contact details, and personal information, with the reasons for collection being communicated to stakeholders. Information is obtained only with the concerned party's consent.
Storage of Information:
  • Secure Storage: Information is stored electronically or as hard copies, and it is the responsibility of the employee handling the information to ensure its security.
Processing of Information:
  • Limited Processing: Information is processed only when necessary, such as for legal requirements, employee skill matrix preparation, or performance evaluation, with strict adherence to maintaining confidentiality.
Transmitting of Information:
  • Authorized Transmission: Information is forwarded only to relevant authorities, with permission obtained before transmission.
Sharing of Information:
  • Regulatory Compliance: Information is shared as required by regulations, with consent sought unless compelling reasons dictate otherwise.
Monitoring:
  • Responsibility: A team consisting of MR and admin members is responsible for implementing, monitoring, and updating the privacy policy.
  • Regular Oversight: Department heads regularly monitor to ensure the privacy of suppliers, customers, consumers, and employees is upheld.
  • Management Review: Top management conducts reviews during management reviews to monitor the application of the privacy policy, with monitoring also conducted during internal assessments.
Investigation and Sanctions:
  • Thorough Investigation: Upon detection of nonconformance, appropriate investigations are conducted, with reports presented to the Elan International(Pokhara) board members.
  • Corrective Actions: Based on investigation outcomes, corrective and preventive actions are taken.
  • Violation Response: Violations of the policy are addressed with major measures to halt the violation, and necessary guidance is provided to the personnel involved. If found guilty, appropriate actions, ranging from warning letters to termination or law enforcement procedures, are taken based on the severity of the violation.
Violation of the Policy:

Any of the employees if found accused of leaking the private information during any stages of collecting, storing, processing, transmitting and sharing shall be subjected to investigations by written .Investigation team consisting of the department heads shall be formed who shall be responsible to investigate and collect evidence/ witness. The accused shall have chance to provide his/her justification. If accused is found guilty, an appropriate action based upon the level of violation shall be taken by serving warning letters followed by service termination or law enforcement procedure.
