Whistle Blower Policy

All employees, customers, and suppliers associated with Elan International Pvt. Ltd., Pokhara Branch, have a professional responsibility to speak up and report any unethical behavior. Elan International strongly encourages individuals to come forward if they suspect or witness any concerning matters.

Procedure

Employees, customers, and suppliers affiliated with Elan International Pvt. Ltd., Pokhara Branch, are obligated to address and report unethical behavior. Elan International emphasizes the importance of speaking up if any concerns arise.

  • All current and former employees, deployed candidates and their relatives, suppliers, and other stakeholders are eligible to report wrongdoing.
  • The whistleblower is required to report any illegal activities, such as theft, violence or threats of violence, property damage, bribery, fraud, money laundering, financial irregularities, failure to comply with legal or regulatory requirements, or engaging in detrimental conduct against individuals who disclose or plan to disclose information.
  • Before making a report, the whistleblower must ensure they have reasonable grounds to suspect misconduct. This requires objective reasoning for suspicion; mere allegations without supporting evidence are unlikely to meet this standard.
  • Reports can be made through the hotline/helpline number or the official website. Additionally, reports can be directly submitted to the Executive Secretary.
  • If possible, provide details such as date, time, and location of the incident, names of individuals involved, any relationship with those individuals, the nature of the concern, how you became aware of the issue, potential witnesses, and any other relevant information to support the report.
Investigation

All whistleblower reports will be meticulously assessed to ascertain whether an investigation is warranted. The findings of the investigation will be presented to the board for fair business practices, which will review the outcomes and decide on appropriate actions to address the issues.

  • If deemed necessary, a mediator will be appointed to facilitate communication between the investigation team and the whistleblower.
  • Each whistleblower report may necessitate varying investigation procedures, but all investigations will adhere to a fair process. This entails ensuring the investigation team remains unbiased, selecting an impartial individual to oversee the investigation who has no personal stake in the outcome, and conducting the investigation promptly and efficiently. The investigation aims to determine if there is sufficient evidence to support the reported matters and must remain independent from those involved in the allegations.
  • The whistleblower will receive feedback on the progress and expected timelines of the investigation.
  • Disclosures will be treated with utmost confidentiality, and there will be a presumption of innocence until the investigation yields its conclusions and resolves the matter.
